Absent From Photo Day

Some schools conduct multiple photo sessions. In the event that your child misses their designated photo day, they have the option to participate in any of the other scheduled photo days. If the school doesn't host additional photo days, we provide the opportunity for retakes at our office in Osborne Park, available throughout both term and school holidays (excluding the year-end break). It's important to note that retakes are not applicable to group photos, and in such cases, your child's name will be listed as absent. For instances where your child is absent on photo day and you need a refund or wish to make changes to your order, please reach out to the We Care Team within 7 days following the last photo day. After this 7-day period, we may be unable to accommodate modifications or cancellations of your order. In cases where a student is absent, and a Portrait image has been ordered, we will issue a credit note or adjust your order accordingly. If a Class image has been ordered, you will still receive the print, and your child will be noted as absent.

Add on Products

Add-on products can only be acquired as extra items when purchasing a pack. This information is outlined on the reverse side of your child's envelope. Envelope orders exclusively featuring add-on products will be temporarily suspended. Our We Care team will make an effort to reach out to you if contact details are provided. In the absence of contact details, your order will be cancelled and a credit note will be issued.

Our calendars purchased will be for the following Calendar year. For example, if you order a calendar in 2024, your calendar print will be dated from January 2025.

Cash Payments and Change

If you choose to make a cash payment, please be aware that our photographers and the school cannot provide change. Occupational Health and Safety (OH&S) regulations prevent our photography team from handling change, and schools typically do not maintain change reserves. Kindly submit the exact cash amount without expecting change. Fotoworks is not responsible for any cash losses resulting from unsealed envelopes. Ensure the security of your payment by enclosing it in the provided envelope and sealing it. Your sealed envelope will be returned to you along with your photo order, serving as a receipt.


​​​​​​​​​There are various technologies, including one called "cookies", which can be used to provide you with tailored information from a website. A cookie is an element of data that a website can send to your browser, which may then store it on your system. Some of Fotoworks School Photography web pages use cookies or other technologies so that we can better serve you when you return to our site. You can set your browser to notify you when you receive a cookie, giving you the chance to decide whether to accept it. Please note that if you choose not to accept cookies or have them turned off while visiting the Fotoworks School Portraits website, the online shopping facility will not work. Our online shopping system requires that you accept cookies to keep track of items stored in your virtual shopping basket.

Credit card surcharges & payments

A surcharge of 1.4% will apply to all online and credit card orders. These fees are imposed by the lab we collaborate with for printing our photos, and they cover the costs associated with providing the online facility. Regarding the option to avoid credit card fees, please note that making a cash payment directly into the envelope is a viable alternative.

Digital Downloads

Digital download purchases are non-refundable and exclusively offered with online orders. If you suspect your digital download is missing, kindly contact Fotoworks via email within 90 days of receiving your photo pack. Due to Child Protection & Privacy reasons, group and composite images cannot be released digitally. For online orders eligible for a digital download, the portrait image will be sent to the email used during the online order placement within 2 weeks after the photos are dispatched to the school. Please check your junk and spam folders, as download links may land there rather than in your inbox. Download links have a 30-day validity and cannot be reissued.


Envelopes (one per child)

Each envelope/order form is specific to the student whose name is printed on the front. They are encoded with the student's unique identifier, allowing only one envelope/order form to be utilized per child, namely the child whose name is on the envelope. If the child's envelope is unavailable, please refrain from using any other barcoded envelope - instead, obtain a 'blank/spare' envelope/order form from the school office. If paying for a sibling photo by cash, please obtain a 'blank/spare sibling' envelope/order from the school office and list all the students on the front. Please note the Sibling envelope/order form is distinct from the individual one provided for individual portraits and groups. 

Family Discount

A discount is offered when more than two siblings are enrolled in the same school. To qualify for the family discount, a minimum expenditure of $50 per child entitles you to a 50% discount on the third child's price and subsequent children. It's important to mention that this discount is not applicable to the sibling (family) photo order.


Goods sent within Australia will not be insured. Insurance is included for overseas freight on orders up to the value of AUD200.00. Insurance for all international orders above the value of AUD200.00 will be quoted prior to shipping.


Late Orders

Orders placed after Photo Day will return to our standard rates. Photo Day orders, submitted through the Photo Day envelope/order form, are offered at a significant discount thanks to the large group order we can make with our professional photographic printer supplier. However, orders made after Photo Day are treated individually and, as a result, return to regular pricing. Once the photo day photos are delivered to the school, you will receive a personalized Late Order form. This form will provide information on available packages, pricing, and the ordering process.

Minor Blemish 'Retouching' Policy

Fotoworks defines "Blemish Removal/Retouching" as the elimination of temporary marks that do not reflect the child's appearance on a typical day-to-day basis. Examples include cold sores, bruises, scabs, and similar temporary marks. The application of blemish removal and retouching techniques is carried out only upon request from the parents/guardians, with the understanding that the child's final photograph should accurately depict their appearance throughout the entire year, rather than focusing on the limited days when temporary marks may be present. It is essential to note that we do not manipulate, recolour, or edit images. Our photographers balance the white level of our cameras each day to regulate the colour temperature of the images, and our lab corrects the entire image for the uniform colour of the entire school. This is done to ensure accurate representation of uniform colour.

Missing or Incorrect Orders

Please be aware that Fotoworks returns envelopes along with photo orders, serving as a receipt. If you didn't receive your envelope back and your photo order is missing, it indicates that we did not receive an order for your child. Envelope orders should be handed directly to our photographers on photo day. Fotoworks cannot be held responsible for missing orders if an envelope was submitted to the school office or teachers. If you believe your photo order is missing, kindly reach out to Fotoworks via email within 90 days of the delivery to the school. Ensure to attach proof of purchase, such as a tax invoice, bank statement, or a photograph of your envelope, as our We Care team requires this documentation for assistance.

Name Change Requests

Fotoworks cannot modify student names unless approved by the school's photo day coordinator. This restriction is due to the school furnishing us with their official student data, aligning with their student enrolments. Without explicit permission, we are unable to alter this data. For any name change requests, we recommend reaching out to the school before photo day to obtain authorization through official channels. If we receive approval from the school, we can proceed to adjust the name during our proofing process. Fotoworks cannot be held accountable for names that remain unchanged in the absence of proper authorization.

Postage & Freight Costs

Shipping expenses within Australia are $10.00 standard or $15.00 tracked for up to 5 standard 8x12 photos. Your order will be dispatched via Australia Post. Within 48 hours of placing an international order, a sales assistant will reach out to you with a freight quote based on the weight of your order. Fotoworks does not assume responsibility for mail lost or damaged by Australia Post. In such instances, please direct your inquiries to Australia Post.


Prices quoted in our catalogue are net ex-GST. The prices are current at the time of publication, however they may be subject to change without notice.

Print Sizes

Print sizes are estimations and should not be solely relied upon for frame purchases. We suggest waiting until the print or enlargement is received and determining the appropriate frame size at that point. This approach helps avoid unnecessary expenses and potential frustrations.


Fotoworks aims to provide you with maximum control over your personal information. Typically, you can browse without disclosing your identity or revealing any personal details. However, there may be occasions when we require information from you, such as your name, postal address, and email contact address. Our commitment is to inform you before gathering personal information online. We are dedicated to safeguarding the quality and integrity of your personally identifiable information. We strive to ensure that our records are accurate, current, and complete. We will respond to your requests to correct personal information inaccuracies in a timely manner. Student name information comes to us directly from schools. If names are incorrect please advise your school and request that they update our records. We are not permitted to alter school provided records.

​Returns & Refunds

A refund is assured if, as determined by you, the photographs are deemed unsatisfactory and returned to Fotoworks within 14 days of receiving your photos. All items returned to Fotoworks are at the customer's expense and should be mailed to PO Box 1064, Osborne Park DC, WA, 6916. Fotoworks disclaims responsibility for returns sent to the school. Refunds will be processed via credit card and in certain situations, a credit voucher may be issued. For refunds or order modification requests, please contact the We Care Team within 7 days after your last photo day. After this 7-day period, we may be unable to accommodate modifications or cancellations of your order. Special conditions: Refunds will not be granted for orders incorrectly placed through our online portal. Online orders include an emailed tax invoice; please review and retain this invoice as proof of purchase. Please note digital download purchases are non-refundable and purchases containing Digital Downloads are ineligible for a full refund; only physical prints can refunded upon return. Fotoworks does not assume responsibility for mail lost or damaged by Australia Post. In such instances, please direct your inquiries to Australia Post.



To ensure optimal security for your information and cash transactions, we kindly ask that you securely seal your envelope/order form. Fotoworks bears no responsibility for any missing information or cash if an envelope/order form is received without proper sealing.
